Lot/Serials are an integral part of Pocket Inventory. Users can manage the lots for any item on a transaction that can have lots. The lot manager screen has all the tools needed to manage the lots for the items on the current transaction. By double-clicking an item that can have lots on a transaction the user can manage the lots for that item. Additionally, all transactions have an Item Menu through which a user can select to manage the highlighted item's lots.
This section covers the following topics:
Important - the only time that the lot manager will not appear when an item that can have lots is double-clicked or scanned, is when the item already has a quantity and has no associated lots or lot entry for that item has already been overridden. Lot entry can be overridden by clicking the Override button on the lot entry screen.
*If the All Orders company preference 'Verify Lot / Serial Numbers' is turned on, quantities for items that can have lots cannot be entered without using lot/serial #s.
The lot manager screen contains a lot list for the lots associated with the current item. Some of the actions you can perform on the lot list includes Adding Lot/Serials, Editing Lot/Serials and Deleting Lot/Serials
New lots can be added in different ways.
Scanning Lots
By placing the cursor into the "Lot" box and scanning a bar-code, Pocket Inventory will enter the bar-code, as the lot's number, into the "Lot" box. Don't forget to change the Remove Check Digit setting if necessary. Once the lot is scanned in the user will be directed to the quantity box to enter the lot's quantity.
Manually Entering Lots
By entering the cursor into the "Lot" box and typing, the user can enter the lot number manually. The user will be directed to the quantity box to enter the item's quantity.
All lot's are not allowed to have quantities below or equal to zero. If a lot number is added that already exists on the lot list, the quantity will be added to the already present lot's quantity.
Tip - The Auto Quantity setting works for adding lots as well.
To edit a lot, double click it on the lot list and the lot's data will fill the entry boxes at the top of the screen. After correctly editing the lot's number and/or quantity click Done to update the lot list and leave edit mode.
To delete a lot, select the lot from the list and click Delete.
Click Reset to remove all the lots for the current item.
Click Save & Close to save all of the changes that have been made.
IMPORTANT - All changes to lots that are saved will only be saved to the item when the transaction is saved. For example, if a lot is added to an item, saved in the lot manager screen, and then the transaction's changes are not saved, the lot will not be saved. Lot changes for an item will only be saved once the transaction that contains the item is saved.
Click Exit to close the lot manager. If prompted to save changes merely click No.
*Applicable to All Orders users only.
